Who these terms cover
These additional terms apply to authorized university staff using the IMS Hub university workspace. The general IMS Terms & Conditions and Privacy Policy also apply. University workspace access does not require a Student Pro subscription; student subscription prices and usage allowances do not apply to this staff account.
Authority and account security
Use an individually assigned account only if you are authorized to represent the named university. Keep credentials private and tell IMS promptly when access should be revoked. The verification badge confirms an authorized university account; it does not guarantee admission, scholarship funding, accreditation, or the accuracy of every statement.
Accurate and authorized publications
You are responsible for the accuracy, dates, translations, attachments, and rights to the content you submit. Identify the relevant program, study level, intake, eligibility conditions, and expiry. Do not publish misleading guarantees, unlawful or abusive material, unsolicited advertising, personal student records, or content you lack permission to share. Publishing an update does not change the university catalog or matching requirements; request catalog corrections from IMS.
Publication, corrections and recall
Authorized publishers publish directly without prior IMS review. Saved edits remain private until you publish the correction; the current published version stays visible meanwhile. Corrections do not send a second notification. Create a separate follow-up for a new announcement or audience. IMS may remove content or suspend access when needed. Recall stops new access and delivery, but cannot remove notifications or files already received or downloaded.
Audience and analytics
Notifications go to active subscribers currently matched to your university whose app language matches the audience language you select, subject to their notification preferences. The language selector does not translate your content. New subscribers may receive still-current earlier updates in a grouped catch-up. Delivery is not guaranteed. Analytics describe recorded events and distinguish notification submission, opening, viewing, and completed downloads. They do not prove a student read or understood a message. You receive aggregate analytics, not access to private student profiles, contact details, grades, or documents.
Admission decisions and student privacy
A match is guidance based on the saved student profile and applicable catalog rules, not an admission decision. Different study levels and preparation routes have separate entry and progression requirements. The university remains responsible for evaluating an application through its official process. Do not try to identify individuals from analytics or use the workspace to request sensitive documents. Direct applicants to the official application channel when documents are required.
Student discussions
Students who can access an update may like it, comment, and reply. Their chosen display names and comments are visible in the discussion; private academic profiles and contact details remain private. Staff replies display the university name and badge. Use replies for helpful information, never to request sensitive documents or promise admission. Authors can edit or delete their own comments; edits do not send repeat notifications. Publishers can hide inappropriate comments on their university updates, and participants can report content to IMS or block discussion authors. IMS applies text safety checks and keeps reported text and moderation records for safety review even if a comment is later edited or deleted.
Content use and support
You retain ownership of your content and permit IMS to store, review, format, and display it and its attachments to the intended audience for this service. IMS retains publication, moderation, and acceptance records as described in its Privacy Policy. Contact IMS through the published support page for corrections, privacy requests, complaints, or account closure. A separate signed institutional agreement continues to govern any services it expressly covers. Advisor may summarize published updates for authorized students under their AI-sharing choice. Discussion comments are not included in that voice lookup.
